Inventory
How to Add an Item Category
The following are steps to add an item category:
- Step 1: Log in to the school portal and navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A sub-menu of Administrative)
- Step 3: Click Category (A sub-menu of Inventory)
- Step 4: Click the Add Category button at the top right corner
- Step 5: Enter the name of the category
- Step 6: Click Save
Click the Add More button to include more categories.
Note
Category is used to group all items under the inventory (E.g. Stationery could be used as an example of a category for items such as pens, pencils, notebooks, colour sticks, etc.)
How to Create an Item Subcategory
The following are the steps to create a subcategory:
- Step 1: Navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A submenu of Administrative)
- Step 3: Click Item Types (A submenu of Inventory)
- Step 4: Click the ADD ITEM TYPE button in the top right corner
- Step 5: Fill in the required field
- Step 6: Click Save
Click the ADD MORE button to add more Item Types (or subcategories)
Note
Item Types allows a further grouping of items into neat subcategories. For example, pen which is an item under Stationery (a Category) can have other subgroups such as LEO SMART, LUCKY, BIC,etc.
How to Add an Item to the Inventory
The following are steps to add an item to the inventory:
- Step 1: Log in to the school portal and navigate to the Administrative section of the main menu
- Step 2: Click Inventory (a submenu of Administrative)
- Step 3: Click Items (a submenu of Inventory)
- Step 4: Click Add Items in the top right corner
- Step 5: Fill in the required information
- Step 6: Click Save
- Step 7: On the newly added item, click the Manage Item button.
- Step 8: Click the Top-up Item button in the top right corner.
- Step 9: Enter the Unit Price, Selling Price, and the Quantity.
- Step 10: Click Save
Click the Add More button to provide additional information about the item (i.e. description, item type, location)
How to Issue an Item
Below are the steps on how to issue an item.
- Step 1: Navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A submenu of Administrative)
- Step 3: Click Issue Item (A submenu of Inventory)
- Step 4: Click the Issue Item button in the top right corner
- Step 5: Fill in all the required fields. Select the item you want to issue, the quantity, and the student or staff you want to issue the item to. Write a brief note about the item.
- Step 6: Click Save
How to Restock an Existing Item
Below are steps to restock an existing item:
- Step 1: Log in to the school portal and navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A submenu of Administrative)
- Step 3: Click Items (A submenu of Inventory).
- Step 4: On the existing item of interest, click the Manage Item button.
- Step 5: Click the Top-up Item button in the top right corner.
- Step 6: Enter the new Unit Price, Selling Price, and Quantity.
- Step 7: Click Save
How to Add a Vendor
The following are the steps to add a vendor or create a list of vendors:
- Step 1: Log in to the school portal and navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A submenu of Administrative)
- Step 3: Click Vendors on the Inventory submenu.
- Step 4: Click the Add Vendor button in the top right corner
- Step 5: Fill in the required information
- Step 6: Click Save
Note
The vendor is an individual or an enterprise from which the items in the inventory are procured.
How to View an Inventory Report
The following are steps to view the report:
- Step 1: Log in to the school portal and navigate to the Administrative section of the main menu
- Step 2: Click Inventory (A sub-menu of Administrative)
- Step 3: Click Report (A sub-menu of Inventory)
- Step 4: On any item of interest, click the View Breakdown button to see the quantity of the item sold and the profit made
To view the report from a particular date, click the Switch Calendar button at the top right corner.
Note
The Dashboard gives an overview of comprehensive information of about inventory on the portal. On the dashboard, the following records can be viewed: Items. In Stock, Out of Stock, and Procurement.
- Items give the total number of items under inventory
- In Stock gives a report on items that are available in the inventory
- Out of Stock gives a report on items that are not available in the inventory
- Procurement gives you the status report on inventory items
