Note

Salaries belong to an expense account. It is, therefore, necessary to add Salaries to the Expenses Category and then tag it as Payroll. The system will initialize the details.

How to Add Salaries as a Category under Expenses

The following are steps to add salaries as a category under expenses:

  • Step 1: Log in to the school portal and navigate to the Finance section on the main menu
  • Step 2: Click Payroll, (A submenu of Finance)
  • Step 3: Click Setting, (A submenu of Payroll)
  • Step 4: Click the Expenses Category to choose Salaries among the list of expense categories, and then click Expenses Tag to choose Payroll from the list of expense tags

Note

Both Salaries (as an expense category) and Payroll (as an expense Tag) should have been created when setting up expense management. (Click here to see HOW TO CREATE A CATEGORY FOR EXPENSES and HOW TO CREATE EXPENSE TAGS).

How to Add Components that will Make up a Salary Structure

The following are steps to add components that will make a salary structure:

  • Step 1: Log in to the school portal and navigate to the Finance section on the main menu
  • Step 2: Click Payroll, (A submenu of Finance)
  • Step 3: Click Items Archive, a submenu of Payroll. (The Items Archive is where all components or items that will make up the complete salary structure are added)
  • Step 4: Click the ADD ITEM button in the top right corner of the page.
  • Step 5: Fill in all the *required fields. Enter the specific name of a component or an item that will be part of the salary structure into the Title field

Tip

  1. Under Category, click Select to determine if the component or item should be a Basic salary, an Allowance, or a Deduction.
  2. Under Status, click Select to determine if the component or item will be assigned a Fixed amount or one based on a certain percentage (Percentage-based).
  3. To determine if this component or item will be Taxable or not, click Select to choose Yes or No from the drop-down box. (Note that deductions are not taxable).
  4. Click the ADD MORE button to include more components or items that will make a complete salary structure and fill in all the *required fields as instructed above.
  5. To remove a component or an item from the salary, click the red (X) attached to the component or item.

How to Set Basic Pay and Bank Details of a Member of the Staff

The following are steps to set the basic pay and bank details of a member of the staff:

  • Step 1: Log in to the school portal and navigate the Finance section on the main menu
  • Step 2: Click Payroll (A submenu of Finance)
  • Step 3: Click Salary Setting (A submenu of Payroll)
  • Step 4: Click the ADD SETTING button 
  • Step 5: Fill in all the *required fields
  • Step 6: Click Save

Note

Basic Pay may be different for each member of the staff.

Tip

  1. Under the Pay Structure, click Select to determine if the staff's salary arrangement or agreement is on an Hourly, Daily, or Monthly basis.
  2. Under Bank, click Select to pick from the list of banks the one into which the staff's salary will always be paid.
  3. Enter the bank account number of the staff in the field tagged Account Number. (It is important to have an extensive list of banks in the system to meet the preference of each member of the school staff).
  4. To remove a member of the staff from the list, click the red (X) sign attached to the staff.
  5. Click the Edit button attached to any member of the staff to make any corrections or adjustments after saving.

How to Create Categories for Grouping Members of the Staff

The following are steps to create categories for grouping members of the staff:

  • Step 1: Log in to the school portal and navigate to the Finance section on the main menu
  • Step 2: Click Payroll (A submenu of Finance)
  • Step 3: Click Salary Structure (A submenu of Payroll)
  • Step 4: Click the ADD TEMPLATE button in the top right corner of the page. (This gives the choice of creating a list of categories for staff.) Click the ADD MORE button to add more categories of staff
  • Step 5: Click Save

Note

  1. Salary Structure is where the templates for salaries are generated, and also where one can create a list and categories of members of the staff for whom the template will be used.
  2. Depending on the school, categories for classifying members of the staff could take any number of forms. It is however important to create different and meaningful categories that will allow easy classifications of all members of the staff. Examples of such categories could be the Administrative Staff, the Teaching Staff, the Non-teaching Staff, the Medical Staff, etc.)

Tip

To remove or delete any category, check or select the box attached to the category and then click the red delete icon in the top right corner of the page.

How to Create a Template for a Salary Structure

The following are steps to create a template for a salary structure:

  • Step 1: Click the MANAGE TEMPLATE button attached to any category of staff.
  • Step 2: Fill in all the *required fields.
  • Step 3: Click Save

Note

  1. When a salary structure template is created it will help to generate PAY SLIPS for each member of the staff.
  2. The percentage of Basic pay should always be 100%. Keep in mind that all components of the salary structure that are predefined or preset to take percentages will require values to be entered as percentages.
  3. Certain components may require a fixed amount to be entered into the fields attached to them. This, however, also depends on the conditions used when creating components of the salary structure.

How to Add a Member of the Staff to any Staff Category

The following are steps to add a member of the staff to any staff category:

  • Step 1: Click the MANAGE STAFF button attached to any category of Staff.
  • Step 2: Click the ADD STAFF button in the top right corner of the page. Fill in the *required field by clicking the (+) to choose any member of the staff from the list of staff
  • Step 3: Click Save

Tip

To remove any member of staff, check or select the box attached to that staff and then click the red delete icon in the top right corner of the page.

How to Process Payment of Salaries

The following are steps to process the payment of salaries:

  • Step 1: Log in to the school portal and navigate to the Finance Section on the main menu
  • Step 2: Click Payroll (A submenu of Finance)
  • Step 3: Click Payments (A submenu of Payroll). Payments gives access to the list of staff whose salaries have been prepared (under Salary Setting). It indicates Pay Slip Status, either as Available or Not Available.)
  • Step 4: Click the PREPARE PAYSLIP button in the top right part of the page, just above the list.

Click the PAYSLIP button attached to any staff to see full details of that staff's salary.

Note

When the pay slips have been prepared, the system changes each member of the staff's Payslip Status to Available.

Tip

Click SWITCH CALENDAR to change or filter the information to show the ones for the month and year of interest.

How to Process and Approve Payment of Salaries

The following are steps to process and approve payments of salaries:

  • Step 1: Log in to the school portal and navigate to Finance Section on the main menu.
  • Step 2: Click Payroll (A submenu of Finance)
  • Step 3: Click Payouts (A submenu of Payroll)
  • Step 4: Click the PROCESS PAYOUTS button in the top middle part of the page
  • Step 5: Click the APPROVE PAYOUTS button
  • Step 6: Select a payment method
  • Step 7: Click the APPROVE button

Note

  1. Processing and approving payout cannot be done without preparing and generating pay slips.
  2. Processing payouts generates the list of staff whose pay slips have been prepared. For each member of the staff whose pay slip has been prepared, the following information is given:
  • Account, which is the bank account details of the staff and where the money will be transferred;
  • Net Pay, which is the total amount to be paid as salary;
  • Amount Paid, which is always indicating N0.00 until payment is processed and approved; it then changes to the specific amount paid;
  • Outstanding, which indicates the total amount yet to be paid. This could also reflect all past payments not made; and
  • Status, which indicates if the payment has been approved or not.

3.The Click here! link, when clicked, shows a small text box that asks that the Net Pay be verified before approval.

Tip

  1. Click the EDIT button to enter the amount to be paid if the intention is to make a deduction from the total salary (Net Pay). Note, however, that the Outstanding will reflect the amount deducted.
  2. To remove a member of the staff from the list, check the box attached to the staff and then click the delete icon in the top right corner of the page.
  3. Click CANCEL PAYOUTS to reverse the process or to cancel all payments

How to Send Salary Slips (Pay Slips) via SMS

The following are steps to send salary Slips or Pay slips via SMS

  • Step 1: Log in to the school portal and navigate to the Finance section on the main menu
  • Step 2: Click Payroll, (A submenu of Finance)
  • Step 3: Click Payments, (A submenu of Payroll)
  • Step 4: Click the PAYSLIP button attached to any member of the staff.
  • Step 5:Click the SEND PAYSLIP button.
  • Step 6: Click the SEND button.

How to View a Report on Payroll

The following are steps to view a report on payroll:

  • Step 1: Log in to the school portal and navigate to the Finance section on the main menu
  • Step 2: Click Payroll (A submenu of Finance)
  • Step 3: Click Report (A submenu of Payroll)

Note

The payroll Report gives access to the yearly report showing Total Net Pay, Total Payouts and Total Outstanding payment for each month of that year).

Tip

Click the SWITCH YEAR button in the top right corner of the page to filter information to show the ones for the year of interest.
